How a corporate chauffeur account is set up and run
An account starts with a conversation about the travel policy: which vehicle classes are approved for which grades, whether guests and clients are treated differently from staff, who may book, who approves, which cost centres the journeys are charged to and what the monthly statement should look like. The desk then creates the account with a named coordinator, loads the traveller profiles the company chooses to share, name, mobile, preferred vehicle, home and office addresses, usual airport and terminal, and opens the booking channel: email or WhatsApp to the coordinator, the online booker with the account code, or the company's travel management company acting on its behalf. From then on a booking is a line: who, where, when, which class. The coordinator confirms it, sends the chauffeur's details the day before, tracks the flight where there is one, and handles the changes, which in corporate travel are constant. At the end of the month the statement arrives with every journey itemised by traveller, cost centre, date and route, GST on each line against the RUTZ.IN GSTIN so input credit can be claimed, and tolls and parking shown at cost against receipts. TDS on the settlement follows the Income Tax rules for hired vehicles, and the desk supplies the certificates a finance team needs.
Accounts held outside India are billed on the international card in US dollars, which suits a regional headquarters in Singapore or Dubai booking for staff visiting India, and the same statement format applies.

Duty of care
The record a travel manager can stand behind
Duty of care in ground transport is a short list of verifiable facts. Every chauffeur on a corporate account holds a commercial licence and a state transport badge, has cleared police verification and a background check, and is on file with the desk with a photograph and licence number the company's security team may see. Every vehicle carries a commercial permit, fitness certificate and insurance, and its registration is on the confirmation for checking against the Ministry of Road Transport records. The company's travel policy is applied by the coordinator, not left to the traveller: if the policy says no night driving without a second chauffeur, the second chauffeur is added and shown on the line.
Reporting follows. The monthly statement is a record of who travelled where and when; incident reports are sent the same day; a traveller's live location link can be shared with the company's security operations centre on request. Companies that align with the Global Business Travel Association's duty-of-care guidance will find the account meets it, and the desk will complete a supplier questionnaire or an insurer's form when the company's procurement asks.
Confidentiality is treated as part of the same duty: chauffeurs on sensitive engagements sign the company's non-disclosure agreement, and the statement goes to the office that holds the account and nowhere else.

A roadshow is the corporate booking with the most moving parts, and the one where a single account earns its keep. This is a typical week.

How corporate work is priced
Corporate accounts are priced from the same published rate cards as every booking, which keeps the statement auditable: the executive sedan at $220 for an airport transfer, $190 an hour with a four-hour minimum and $1,400 for the eight-hour day on the international card, and the luxury, SUV, MPV and group classes scaling from it. The charter tiers discount multi-day engagements from the third day, weekly and monthly. Volume arrangements, where an account commits to a level of monthly use, are agreed in writing and applied on the statement as a line, not hidden in the rates. GST is added at the rate the account's registration allows; tolls, parking and state entry taxes are at cost.

The account covers all 32 cities on the cities page, with local rosters in each and the deepest capacity in Delhi NCR, Mumbai, Bengaluru, Hyderabad, Chennai and Pune, where corporate travel concentrates. - Tolls, parking, state entry taxes and permits are charged at cost against receipts; monument and guide fees through the travel desk are itemised.

How do we open a corporate account?
Through the corporate accounts page or the contact page: the desk asks for the travel policy, the approvers, the cost centres and the traveller profiles the company wants on file, and the account is live with a named coordinator within a few working days.
Can our travel management company book on our behalf?
Yes. The TMC is given the account code and books through the coordinator or the online booker; the statement still goes to the company, itemised by traveller and cost centre, and the TMC receives a copy if the company asks.
Is GST input credit available on the invoice?
Every line shows GST against the RUTZ.IN GSTIN. Whether the company can claim input credit depends on its own registration and the applicable rate, five per cent without credit or eighteen with; the finance team's advisers will confirm which applies.
Do you provide duty-of-care reporting?
The monthly statement is itself the travel record; incident reports are same-day; chauffeur and vehicle files are available to the company's security team; live location links can be shared on request; and the desk completes supplier and insurer questionnaires.
Can one account cover staff in several cities?

What are the payment terms for a corporate account?
